OTS WORKLOW FOR PRACTICE: UNIDIRECTIONAL
A. Match fax to an order
1. Go to Documents > Fax Queue
2. Click the appropriate filename of the unmatched lab result
3. Search patient name by using filters, and hit Search button.
4. Choose the correct patient name.
5. Choose the Document category and the correct open lab orders.
6. Select the staff/provider who will get a notification regarding the result (optional).
7. Click Match button.
8. Go to Order Tracking > Search Patient > Completed Test to view the attachment."
B. Manually entering the result in the OTS
1. Go to Order Tracking > Search Patient > Pending Ordered Test
2. Right click on the pending lab order and click 'Enter Results' or 'Upload Reports'
3. Another page will appear. Entering the results and/or upload the documents.
4. Hit Submit button.
5. In COMPLETED TESTS. Check the box for the lab result and choose medium to contact patient e.g. email. Click 'Review and close, Review, inform patient and Close, or Review and move to Tests requiring further action' "
Note: The practice may ssign ONE STAFF (as a document manager) to ensure all the results are in the paperwork that came as a pdf from the lab, and CLOSE all but one of the tests (because they will all have the same results attached) REMEMBERING this is not an HL7 result, but incoming faxed results. That way the provider could stop monitoring all his tasks and just be "tasked" from OTS to review the "one result" that has all the results.
3 WAYS FOR LAB RESULTS TO GO TO THE PATIENT PORTAL
A. Matched fax to an order
1. Go to Documents > Fax Queue

9. Choose medium to contact patient e.g. email. Click 'Review, Inform patient and Close'
B. Manually entering the result in the OTS.
1. Go to Order Tracking > Search Patient > Pending Ordered Test
2. Right click on the pending lab order and click 'Enter Results' or 'Upload Reports'
3. Another page will appear. After entering the results or uploading the documents, Hit Submit button.
4. Check the box for the lab result you want to send to the patient portal.
5. Choose medium to contact patient e.g. email. Click 'Review, Inform patient and Close'
C. Through a lab interface where the results are sent through an HL7 which is a discreet data. This is sent automatically to patient portal
The ""review, inform patient and close"" option in OTS has an ""email"" feature to send an email to the patient about the imaging/labs, and a copy of the email is stored in the H icon of the order.
Note: PDF, faxed, scanned results uploaded into the patient's EMR All Notes section are NOT viewable on the portal. You will need to ensure the results are submitted as discreet data - through the Order Tracking system - in order for them to display on the portal."
ENABLING PATIENT PORTAL TEST RESULTS FEATURE
The patient can access the test results in the portal by enabling PATIENT ACCESS TO TEST RESULTS ON PATIENT PORTAL in your practice. Please follow the steps below:
1. Go to Administration-System Settings-Practice Settings
2. In the Practice Settings page, PATIENT ACCESS TO TEST RESULTS ON PATIENT PORTAL, select ENABLED and click SAVE
3. Attach the Xray report to the outstanding order by:
3a. Go to ORDER TRACKING-ORDER TRACKING
3b. In ORDER SEARCH filterm use ORDERED BY: ALL and click SEARCH. You may also need to shorten your date filter to populate patient names faster..
3c. In 'Ordered Tests with Pending Results' section,ight click patient's name e.g. patient Sharon West or radiology test and select ENTER RESULTS
3d. In ENTER RESULTS section, enter values,comments, etc; and/or under RESULTS UPLOAD, click CHOOSE FILE to attach reports or images.
3e. Click SUBMIT.
4. The results will now populate under ORDER TRACKING-ORDER TRACKING-Completed Tests. The results and/or attachments can now be seen under VIEW TEST RESULTS page in the patient portal."
HOW TO ADD LAB PANEL
1. Go to Administration > Order Tracking Setup > Edit Practice Panels
2. Click Add a Panel button
3. Provide a Panel Name. Click 'Search and Add Tests'
4. Enter the keyword either in CODE or Description e.g. vaccine. Hit Search
5. Tick the checkboxes you want procedures or tests added to the panel
6. Click 'Add to List' button
7. Save. The panel of is now created.
8. Go to Administration > EMR Setup > CPT Superbill
9. Select the category where you want the panel added. Click 'Add Item'
10. Type the Item Name e.g. vaccine. Select the panel name from the dropdown. Choose default ICD to be attached to the panel (optional)
11. Hit Save. Your panel created will now appear under your selected category in the Orders and Procedures page."
HOW TO ADD LABCORP CODES AS AN ORDER (NOT LISTED IN YOUR SUPERBILL) THROUGH THE ORDERS AND PROCEDURES
1. Enter the keyword in the Quick Search tab e.g. ""Herpes Simplex"" then select the e.g. 86694 from the dropdown
2. Click ADD button. LABCORP and ADD AS CPT options will appear.
3. Select DRAW STATION or PRACTICE under LABCORP.
4. click the word LABCORP. This will add the code as LABCORP code.
Specimen Collection Location
1. Go to Administration > System Settings > Make selection in Specimen Collected At > Save. The barcode in the requisition form will only appear if the setting is set to practice or the default is set to practice. For practices who are getting specimen samples in their clinic, they would need to utilize the barcode shown in the requisition form and show it to the lab once specimens are submitted. If the barcode number is different from the requisition number this will cause a mismatch of the specimen and requisition.
