Time off Notification Protocol
Vacation
- Must be requested through GoCo at least 2 weeks prior to scheduled vacation and scheduled in your Zimbra Calendar that is shared with the team (instructions on how to do so are below and attached)
- Notify your direct supervisor and Clinical Manager with the following information:
- What days you will be taking off and when you are returning
- Identify who will be taking over each of your responsibilities while you are out, and when you are meeting which each team member to ensure they are updated on the latest information & have an understanding of what they are responsible for
Illness
- Contact your direct supervisor and Clinical Manager with the following information:
- Estimated duration of absence
- Identify who is handling urgent issues that are on your plate for the duration of absence.
- If prolonged illness (more than 24hrs) need to provide a doctor's note to Clinical Manager
- Sick Time must go into GoCo no later than 1 week after returning to work
Absence from scheduled hours without prior notification
- Due to internet connectivity: Provide notice of service disruption and notify Clinical Manager (Clay) via 09179567575.
Failure to adhere to the rules above going forward will result in deferred consideration for time off in the future.

If you have an upcoming day off, it is your responsibility to add it to your Zimbra calendar and make the other members of your team attendees so that they are aware and can add it to their calendar if they wish.
The way to do this is: Right click on the day you have scheduled out and select New All Day Appointment

Fill out the following fields with the appropriate information:
Subject:
Attendees: all members of your team and your supervisor
Make sure that the "All Day" is checked off if you're taking the entire day. And leave the display as "Free" or it will block the entire day for each member of the team that accepts the invite.
